Terms and conditions
CONFIRMATION OF REGISTRATION
Confirmation of registration will be emailed to the ‘booking contact’. If you have not received your acknowledgement within 48 hours of registering, please contact us to confirm your booking. We cannot be held responsible for the non-arrival of delegate registration information.
The online conference booking form constitutes a legally binding agreement. Payment should be received, in full, within 30 days of the invoice date.
To qualify for a special offer – such as a discounted rate – bookings must be submitted and paid for, on or in advance of the published deadline.
If your organisation operates a purchase order system, please ensure you get the appropriate authorisation prior to booking – if you complete a booking and fail to get such authorisation you will be held personally liable for payment.
CANCELLATIONS / SUBSTITUTIONS
We appreciate that circumstances can change. For those unable to attend, a substitute delegate may be registered with us (by email or phone) at any time for no additional charge. Alternatively a refund will be given for cancellations confirmed in writing, up to 14 days prior to the event, less an administration charge of 25% plus VAT.
We regret that no refunds can be offered for cancellations made less than 14 days before the event or for delegates who fail to attend on the day.
Refunds will be given to cancellations made – in writing – less than 14 days before the event as per our cancellation terms above. Full refunds will only be offered in special circumstances and will be entirely at the discretion of Policy Hub Scotland.
Should Policy Hub Scotland cancel an event, a full refund will be made to the billing contact/organisation within 30 days of the event cancellation.
Should Policy Hub Scotland postpone or reschedule an event, delegates will first be offered the opportunity to attend on the rescheduled date. If this proves unsuitable to a delegate, a full refund will be made to the billing contact/organisation within 30 days.
Policy Hub Scotland will make every attempt to provide the programme as advertised. However, in the event of speakers being unable to attend, or any other circumstances beyond our control, we reserve the right to alter the programme and other particulars as appropriate.
The actions and views expressed by speakers and delegates at our events cannot in any way be attributed to Policy Hub Scotland.
YOUR IDENTITY AND YOUR INFORMATION
As part of our event management, we will prepare a delegate list for each of our events. This list will include each delegate’s name, job title and organisation. It will not include any contact details. If you have booked to attend an event and do not wish your name to be included in the delegate list, please let us know in writing at least 7 days prior to the event.
At our events we will encourage delegate feedback to help us improve what we do and how we do it. Such feedback may, from time to time, be used across the Hub or in future promotional materials. If you do not wish your comments to be attributed to you, please do not write your name and details on the feedback form.
As part of our marketing activities – and as part of our attempts to create wider policy conversations – we may, from time to time, take photographs and videos at our events which will appear across the Hub or in future promotional materials. As a result, your attendance at the event may result in you being featured in such photographs or videos. Unless you notify us of your objection to this in advance, your consent will be implied. We will, of course, happily remove and/or cease using any images in which you are featured should you request us to do so.
